A CRA letter is not an accusation — but it needs the right response

Every year the CRA reviews a large number of personal returns. Most reviews start with a letter asking you to support one specific claim: medical expenses, childcare, tuition, moving expenses, donations, the disability tax credit, employment expenses, rental losses or a home office. Being selected does not mean you did anything wrong.

Many reviews are random, and many are triggered simply because a claim is larger than usual. But how you respond decides the outcome. An incomplete package, a missed deadline or an explanation that raises new questions can turn a simple review into a reassessment with interest and penalties.

Trim Tax represents you from the first letter. We read exactly what the CRA is asking for, gather and organise the supporting documents, write a clear cover explanation, submit everything through our authorized representative access, and follow the file until the CRA confirms the outcome.

If the CRA has already reassessed you, we review whether the reassessment is correct and, where it is not, file a Notice of Objection.

The types of CRA personal reviews and audits

Pre-assessment review

before your Notice of Assessment is issued, the CRA asks for receipts supporting a claim, and your refund is held until you respond.

Processing review

after your return is assessed, the CRA checks specific deductions or credits and may reassess.

Matching program

the CRA compares your return with slips filed by employers, banks and other payers, and with information from other sources, then proposes adjustments for income it believes was missed.

Desk audit

an auditor reviews your records by correspondence, often covering several claims or several years.

Field audit and net worth audit

an in-depth audit, sometimes reconstructing your income from changes in your assets, debts and spending where the CRA believes income was not reported.

Most CRA letters give 30 days to respond. If more time is needed, an extension can usually be requested before the deadline — we request it for you.

What commonly triggers a personal review

  • Medical expense, childcare, tuition and moving expense claims
  • Disability tax credit and caregiver claims
  • Donations, particularly large or first-time claims
  • Employment expenses and home-office claims supported by a T2200 or T2200S
  • Rental losses, especially year after year
  • Capital gains and losses, including cryptocurrency and the sale of a home not reported or designated correctly
  • Income on slips that does not match the income on your return
  • Refunds that are large compared with your previous years
  • Third-party information, or a lifestyle that appears inconsistent with reported income

How we handle your personal audit

01

Authorization

you authorize Trim Tax through CRA My Account or form AUT-01 so we can see your file and speak to the CRA for you.
02

Scope review

we read every letter, pull your account history and confirm exactly which years, claims and deadlines are involved.
03

Document package

we gather and organise receipts, slips, bank statements and logs, fill gaps with acceptable alternative evidence, and prepare a cover explanation tying each document to the claim.
04

Submission and follow-up

we submit through our representative access, track the file and answer the auditor's follow-up questions so you never have to take the call.
05

Proposal letters

if the auditor proposes adjustments, we respond before the reassessment is issued, with further evidence or an explanation of why the proposal is wrong.
06

Objection

if a reassessment is issued and it is wrong, we file a Notice of Objection on time.
07

Relief

where penalties or interest arose from circumstances beyond your control, we apply for taxpayer relief.
08

Prevention

a record-keeping checklist so next year's claims are supported from the start.

Frequently asked questions

Most letters give 30 days from the date on the letter. If you need more time, ask before the deadline; the CRA often grants an extension. If you do not respond, the CRA will usually disallow the claim and reassess.
No. Most reviews are limited to one claim and one year, and a thorough, well-documented response usually closes the file. Claims that repeat every year, such as a rental loss or the disability tax credit, may be reviewed again, which is why good records matter.
Sometimes. The CRA can accept alternative evidence such as bank and credit-card statements, cancelled cheques, statements from institutions or providers, and duplicate receipts. We identify what is available and present it in the form auditors expect.
Normally three years from the date of your original Notice of Assessment. There is no time limit for a year in which no return was filed, or where the CRA alleges misrepresentation due to neglect, carelessness, wilful default or fraud.
Interest on any additional tax from the original balance-due date, and in some cases penalties — for example, for repeatedly failing to report income, or a penalty of 50% of the understated tax where the CRA finds gross negligence. We challenge penalties that are not justified.
File a Notice of Objection. For individuals, the deadline is the later of one year after the filing due date of the return and 90 days after the date on the notice of reassessment. We prepare the objection with supporting evidence, and if the matter must go to the Tax Court of Canada, we work alongside a tax lawyer.
